Annual walking holidays

CALL for volunteers to organise a holiday 2018

HOLIDAYS 2017 and 2018

A committee meeting of the SDR was held on 24 January 2017. Minutes will be posted later this month.

One action that stems from the meeting is a decision to appeal to members about 2018

Plans for the Annual Walking Holiday 2017 to Britanny are progressing well and take up has been excellent with few places left. Chris W and Bernard are planning to go over to Britanny to recce some lovely routes.

It is time to think about 2018. In fact we need to be getting on with this as finding a suitable hotel for a large number can be challenging.

We no longer have a Holiday Coordinator as such and the committee would like to ask if there is any member who would like to organise a walking break, short or long, UK or overseas. Support can be given but basically the onus would be on the volunteer to do much of the organisation. Recce volunteers are usually forthcoming!

The committee is looking into other options, eg HF holidays, or self drive breaks but the aim is to make a firm decision on 2018 at the next committee meeting 11 April 2017.

If you feel you would like to volunteer to organise a holiday, please get in touch with Bernard or myself. Any offers will then be put to the committee for their consideration.

WALKING HOLIDAY IN CORNWALL 2016 - looking back......

SDR chalked up another enjoyable week with our 5 night stay in Falmouth 2016.

(If you haven’t yet participated on one of these waking holidays, you are missing out. Look out for an announcement about the trip for 2017 at the AGM but you need to be quick as they quickly get booked up!)

Our accommodation surpassed any expectations we might have held of a two star hotel: spotlessly clean, the rooms were comfortable, the food ample, fresh, and well cooked, the seafront location idyllic. All the staff were professional, thoughtful and customer-focused. We were similarly impressed with the cheery good nature of our driver, Sean, who negotiated narrow Cornish lanes and hairpin bends with ease.

Few of us were strangers to Cornwall but Les had arranged for us to explore in all directions from Falmouth. We were charmed by the Roseland peninsula (thank you, Janice, especially for your dogged persistance with the ferry); we were awed by the rugged north coast, the giant stacks known as Bedruthan Steps, the golden beaches and romantic coves; Colin and Anne took us along a magical trail on the Lizard peninsula to sparkling Kynance Cove and Gunwaloe Church; Jenny, who led twice over the week, took us on an inland coast to coast pilgrimage, St Michael’s Way, from Carbis Bay to Marazion.

We all felt our interest in Cornwall was re-kindled by the week. Celia’s head mended well after her tussle with a low hanging branch and she never lost her good humour; Dave proudly boasted winning 1st, 2nd and 3rd prizes in the quiz (there were 3 teams) but most important of all, Bernard’s toe op went smoothly and he still has all his digits!

Thanks and congrats to all who worked to put together this wonderful holiday.

Watch out for the flyer for  the Annual Walking Holiday 2017.

Members are reminded to read and check carefully the Refund and Cancellation Policy below.

REFUND AND CANCELLATION POLICY for South Devon Ramblers

Rationale:

Almost all of the many excursions, trips and activities organised by SDR are self-financing. Inevitably, situations arise when plans change often beyond the control of members, (eg sudden illness, bereavement, surprise holidays booked by family) and in such circumstances people might question whether in fact their money can be wholly or partially refunded.

This policy sets out to clarify the situation, to explain the guidelines by which the organisers operate and why, in most cases, refunds are not possible.

Key Points

Each trip or activity has its own set of deadlines and arrangements and the club engages with many different partners, all of whom have their own policies. It is usually made clear to members that deposits are non-refundable.

Balance payments can rarely be refunded once the deadline has passed and for this reason members are advised to take steps to ensure they are comfortable with the level of their own insurance.

While the lead organiser has some discretion and should be the first person to whom a request for a refund is made, any decision must be approved by two of this group: the Chairman, the Treasurer and the Secretary.  Where the lead organiser is one of these three, s/he should secure the agreement of the two additional people. The guiding principle has to be that the event will not incur a loss.

If there is a waiting list it is sometimes possible to offer some repayment but there are many factors such as timing, room configurations, security issues, all of which have to be taken into consideration.

Each event/activity has its own factors so if an individual has been refunded at some time in the past, this can in no way set a precedent for another, the circumstances of which may be very different.

SUMMARY POINTS Members are advised to

  • Assume deposits are non-refundable
  • Ensure they are suitably covered by their own insurance for unexpected situations which may compel them to withdraw from an event/activity
  • Be aware that in the main balances are also non-refundable but that exceptional circumstances will be considered in the context of the particular event/activity

Approved by committee 28 July 2015
